Job application: Admin Assistant (Remote)

Now Hiring Independent Contractors. We are expanding our playful clinical team of telehealth providers and looking for someone to support this growth. PlayfulLeigh Psyched, a place for playful socioemotional wellness and development, is an expansive telehealth practice founded in 2018, by Dr. Dowtin who is a Black ciswoman. We provide therapeutic services infused with cultural humility, social justice, and trauma focus. We specialize in infants and young children, perinatal mental health folks, and survivors of trauma across the gender spectrum in languages of English, ASL, and Mandarin. All of our services are steeped in understanding trauma and that childhood experiences impact our development and how we interact with one another as adults. Therefore, we provide nurturing family-centered, trauma- and culturally-informed services for people for all ages, genders, abilities, and backgrounds.

We are looking for an administrative assistant to two be the go-to person for our practie. If you assume this position, you will maintain safety of patient data under federal HIPAA laws, answer calls, return calls, leave voicemails, schedule appointments, collect payments, answer scheduling questions, onboard new patients, manage clinician calendars, post pre-approved updates on the practice's social media pages (Facebook/Meta, Twitter, and Instagram), schedule send emails to patients and the public, conduct patient intake calls, collect intake information, etc.

Many tasks only take 2 - 5 minutes to complete. Tasks must be conducted between the hours of 8 AM - 8:30 PM in the time zone of the place you are calling. Some tasks are time sensitive and need to be conducted at or before a specific time, while other tasks can be completed any time by the end of our business day.

The position is very part time with potential to grow over time if desired. This is not an hourly position.

Required availablity

  • Must be available to work at least 4 days per week.
  • Must be consistently available on Sundays, Thursdays, and Fridays (the other day can be selected by the assistant, but once selected will be a set schedule. May be eligible to swap Sunday for a weekday for the right person)
  • Must be available to work approximately 4 - 5 days each week between the hours of 10 AM (Eastern Time) and 8:30 PM.

There are two options for your schedule:

  • Option 1: To check in at designated times for new emails, phone calls, texts messages, portal messages, or tasks added to your daily task list. Our previous two administrative assistants preferred this option. OR
  • Option 2: To be on-call from 10 AM to 8 PM on your work days and keep your work number and email alerts on during those times to be available to complete admin tasks.

Here are schedules we know work for our practice included the check-in times in Eastern Time Zone

Option 1:

  • Sundays: 10 am, 3 PM, 6PM
  • Mondays: OFF
  • Tuesdays: 10 AM, 12:30 PM, 3:30PM, 6:30PM, 8:00PM
  • Wednesdays: OFF
  • Thursdays: 10 AM, 12:30 PM, 3:30PM, 6:30PM, 8:00PM
  • Fridays: 10 AM, 3PM, 8PM
  • Saturdays: OFF
  • Total for the week: 4 days = $175
  • Total for the month: 16 days = $700

Option 2:

  • Sundays: On-call from 10 AM to 6PM
  • Mondays: OFF
  • Tuesdays: On-call from 10 AM to 8PM
  • Wednesdays: OFF
  • Thursdays: On-call from 10 AM to 8PM
  • Fridays: On-call from 10 AM to 8PM
  • Saturdays: OFF
  • Total for the week: 4 days = $175
  • Total for the month: 16 days = $700

Compensation

  • Earning potential up to $700 per month (accumulated daily. All tasks must be completed by the deadline and be accurate to count towards compensation)
  • Paid Monthly via direct deposit (at the end of each month with a submitted invoice)

Required Qualifications

  • United States proof of availability to work
  • Must be able to pass a national background check
  • Must pay attention to details (this is not a position that you can rush)
  • Friendly phone and email demeanor to interact with people related to their mental health needs
  • General understanding of HIPAA compliance (some training provided)
  • Tech savvy (Familiarity with Google Workspace products - not just standard Gmail)

Perferred Qualifications

  • Administrative assistant experience
  • Canva experience
  • Facebook/Meta Business Suite Experience
  • Mental health or health related experience
  • American Sign Language proficiency

Training

We offer limited paid training to include:

  • HIPAA compliance training
  • 1-hour onboarding with our current administrative assistant
  • Access to instructions for all major tasks
  • Access to video tutorials for some tasks
